Refund Policy

Our policy is designed to be transparent and fair, reflecting the bespoke nature of our engineering services. Please review the following terms regarding project payments and refunds.

This policy outlines our standard terms. The specific payment schedules, deliverables, and cancellation terms for your project will be formally defined in your signed Statement of Work (SOW).

1. Our Philosophy on Refunds

Pay-Engineers provides highly specialized, custom software development services. Unlike off-the-shelf products or standard SaaS subscriptions, our work involves a significant investment of engineering hours, resources, and intellectual capital dedicated specifically to your project from day one. As such, our payment and refund policy is structured around project milestones and deliverables, not a satisfaction guarantee period.

2. Project-Based Services

All our projects are governed by a detailed Statement of Work (SOW) which outlines the project scope, deliverables, timeline, and a payment schedule tied to specific milestones.

  • Initial Deposit / Mobilization Fee: Most projects require a non-refundable initial deposit. This payment secures your slot in our development schedule and covers the initial discovery, architecture, and resource allocation phases of your project. This deposit is non-refundable under any circumstances.
  • Milestone Payments: Payments are structured around the completion and your approval of key project milestones (e.g., completion of core API, deployment to a staging environment, etc.). Once a milestone is completed and formally approved by you, the payment for that milestone becomes non-refundable.

3. Project Cancellation

You may choose to cancel your project at any time by providing written notice. Upon cancellation:

  • All work on the project will cease immediately.
  • You will be invoiced for all work completed up to the cancellation date, based on the agreed-upon milestones or an hourly rate as specified in your SOW.
  • All payments made up to the point of cancellation (including the initial deposit and any approved milestone payments) are non-refundable.
  • Upon receipt of all outstanding payments, we will deliver all work-in-progress and source code developed up to the cancellation date. You will retain ownership of the work for which you have paid.

4. Exceptions

The only exception to our non-refundable policy is in the unlikely event that Pay-Engineers is unable to meet its core obligations as defined in the SOW due to a material failure on our part (a "Failure to Deliver"). In such a case, a partial or full refund may be considered, subject to a formal dispute resolution process as outlined in your service agreement. This does not cover changes in project direction, dissatisfaction with an approved deliverable, or external factors beyond our control.
